Description:
Coastal Craftsman, a North Seattle Construction Company focusing on high end residential projects has an immediate opening for a part time/full time Administrative Assistant/Office Coordinator position.
Responsibilities:
Administrative Tasks
Data entry into Houzz Pro or other software
Managing and organizing digital and physical files
Scheduling appointments and maintaining your calendar
Monitoring and responding to basic emails
Creating and updating spreadsheets or documents
Preparing reports or summaries for bookkeeping or project updates
Communication
Coordinating with the bookkeeper to ensure timely and accurate accounting
Sending follow-up emails to Design Studios & Clients regarding sample approvals or project updates
Reaching out to vendors for product availability, pricing, and lead times
Handling routine client communications, such as appointment confirmations
Requesting quotes from service providers or suppliers
Project and Client Support
Gathering and organizing samples for client presentations
Keeping track of sample returns or purchases
Preparing proposals or cost estimates using provided templates
Maintaining project files and notes for each client
Tracking project progress and sending reminders for upcoming tasks or deadlines.
Designer, Vendor and Supplier Relations
Managing vendor contact information and pricing lists
Researching new product options or sourcing specific materials
Placing orders for supplies or materials after approvals
Managing purchase orders and tracking deliveries
Office Organization
Ordering office supplies and managing inventory
Keeping the workspace tidy and organized
Filing and maintaining paperwork, both physical and digital
Implementing systems to improve office efficiency (such as a task tracker)
Light Financial Tasks
Preparing and submitting expense reports
Tracking and categorizing expenses
Entering data into financial software or spreadsheets for bookkeeping purposes
Miscellaneous
Creating standard operating procedures (SOPs) for recurring tasks
Conducting research on industry trends, tools, or products
Handling travel arrangements if needed
Ideal Candidate is a responsible self starter that is passionate about design, construction and seeing projects through to completion. This position will entail office work, site visits, client meetings, etc. Professionalism is very important along with a clean driving record and positive attitude.
Pay dependent on experience (DOE) starting at $25/hr. Medical + Dental insurance offered after 90 day probationary period.
