Full time – Front Desk Administrator needed for small financial advisory practice

The Front Desk Administrator is the office front line for contributing to a positive client experience every time the client contacts or visits the office.
Daily assistance in the business operations and supporting the many different tasks for which the practice is responsible and ties directly to the overall business plan of the practice. There’s lots to learn and we have a training schedule as well as a career path for successful candidates.

Job Overview:
– Communication with clients and third-party companies through front desk, email and phone
– High level of client service and hospitality
– Utilizing CRM and other computer software to create and maintain tasks
– Help with social media presence, reminding & confirming client appointments via text & email
– Processing paper and electronic documents, including following financial industry compliance procedures
– Handling mail and office correspondence within compliance guidelines
– Assisting staff & advisors in day-to-day tasks as needed
– Maintaining office supplies & organization

Minimum Qualifications

• Minimum 2 year of office and admin support experience
• Strong computer and technical skills
• Polite and clear phone manner
• Ability to effectively communicate with clients and other advisors/staff
• Ability to multi-task: Direct attention to detail and organization
• Ability to follow detailed procedures while logging notes
• Effective and efficient time management
• Ability to adhere to rules and regulations as stated and required by Advisor, Ameriprise and FINRA
• Positive attitude and sincere willingness to constantly learn and grow
• High school diploma

Extended list of required tasks
• Scheduling, maintaining and reminding clients of appointments
• Managing a multi-advisor calendar
• Planning and prioritizing weekly work schedule
• Using CRM, computer software and other work/time management tools
• Assisting paraplanners, AFAs, advisors and other staff
• Processing mail (in and out)
• Maintaining files and records in accordance with policy (Paper & Electronic)
• Prepare correspondence for advisor signature
• Greeting clients upon arrival and extend hospitality to clients
• Set up Conference room for in-office client, wholesaler, and team meetings
• Prepare UPS labels for client correspondence
• Tracking client special events and coordinating gifts
• Manage client appreciation cards/gifts/acknowledgement
• Responsible for client birthday, anniversary, congratulations, sympathy, and referral thank you cards/gifts/acknowledgement
• Answering questions and provide readily available information to clients as it relates to servicing their accounts
• Managing and resolving client service problems
• Provide insight and recommendations to effectively use key tools (MOD, Go Social, Advisor website, etc.) that help lead to results in practice
• Reviewing work methods and procedures for possible quality improvements
