Coastal Craftsman, a North Seattle Construction Company focusing on high end residential projects has an immediate opening for a part time\/full time Administrative Assistant\/Office Coordinator position. <\/p>\n
Responsibilities:
\nAdministrative Tasks
\nData entry into Houzz Pro or other software
\nManaging and organizing digital and physical files
\nScheduling appointments and maintaining your calendar
\nMonitoring and responding to basic emails
\nCreating and updating spreadsheets or documents
\nPreparing reports or summaries for bookkeeping or project updates<\/p>\n
Communication
\nCoordinating with the bookkeeper to ensure timely and accurate accounting
\nSending follow-up emails to Design Studios & Clients regarding sample approvals or project updates
\nReaching out to vendors for product availability, pricing, and lead times
\nHandling routine client communications, such as appointment confirmations
\nRequesting quotes from service providers or suppliers<\/p>\n
Project and Client Support
\nGathering and organizing samples for client presentations
\nKeeping track of sample returns or purchases
\nPreparing proposals or cost estimates using provided templates
\nMaintaining project files and notes for each client
\nTracking project progress and sending reminders for upcoming tasks or deadlines.<\/p>\n
Designer, Vendor and Supplier Relations
\nManaging vendor contact information and pricing lists
\nResearching new product options or sourcing specific materials
\nPlacing orders for supplies or materials after approvals
\nManaging purchase orders and tracking deliveries<\/p>\n
Office Organization
\nOrdering office supplies and managing inventory
\nKeeping the workspace tidy and organized
\nFiling and maintaining paperwork, both physical and digital
\nImplementing systems to improve office efficiency (such as a task tracker)<\/p>\n
Light Financial Tasks
\nPreparing and submitting expense reports
\nTracking and categorizing expenses
\nEntering data into financial software or spreadsheets for bookkeeping purposes<\/p>\n
Miscellaneous
\nCreating standard operating procedures (SOPs) for recurring tasks
\nConducting research on industry trends, tools, or products
\nHandling travel arrangements if needed<\/p>\n
Ideal Candidate is a responsible self starter that is passionate about design, construction and seeing projects through to completion. This position will entail office work, site visits, client meetings, etc. Professionalism is very important along with a clean driving record and positive attitude. <\/p>\n
Pay dependent on experience (DOE) starting at $25\/hr. Medical + Dental insurance offered after 90 day probationary period.<\/p>\n
